Job Description

 

 

Our client a large corporation has requested we do a search for a legal executive assistant to provide general administrative and executive support to the Vice President, General Counsel and the Legal team. This position will also provide some support to the Vice President, Marketing.

 

Responsibilities:

 

  • Word processing and proofreading of legal agreements, documents and correspondence
  • Creating, editing, filing and managing documents and PowerPoint presentations as required
  • Calendaring, meeting coordination and logistics, travel arrangements, expense reports, filing, copying, setting up phone conferences
  • Maintain and update corporate records
  • Assist in collecting, assembling and posting information and materials from various executives in preparation for quarterly Board and Board committee meetings
  • Interfacing directly with Board members for travel arrangements to attend onsite quarterly meetings, expense reimbursements, etc.
  • Partner with Vice President, General Counsel in preparing meeting minutes (i.e. drafting, posting, filing, pdfs, coordinating with external auditors, etc.)
  • Prepare, distribute and coordinate annual Directors and Officers questionnaires
  • Coordinate annual Board and Committee self-assessment process
  • Provide backup support to the other administrative staff, as needed (e.g., incoming mail, vacation back up)
  • Assist the legal and finance teams in the timely completion of state filings

 

 



    Job Requirements

    Requirements:  
    • Highly capable: Successful candidate will be organized, reliable, assertive, motivated, and have experience working with C-suite executives
    • Able to work effectively and proactively with a minimum of direction and juggle multiple demands simultaneously
    • Must demonstrate high degree of professionalism and exercise sound judgment
    • Excellent judgment and delivery-oriented attitude
    • Sense of humor, professional work ethic and teamwork
    • Unquestioned discretion in the handling of confidential or sensitive information
    • Notary public is a plus
    • Able to prioritize and perform duties with keen attention to detail and to a high ethical standard
    • Must be trusted to handle highly-sensitive, confidential and non-routine information
    • Must be an excellent communicator and team player: Candidate will have excellent interpersonal and communication skills, be a good listener and be articulate and well presented in person, on the phone and in email
    • Able to work enthusiastically and helpfully across organizations, levels, and diverse personalities
    • Treat colleagues and customers in a manner which demonstrates integrity, respect, honesty and fairness
    • Works effectively within a variety of situations, individuals and groups applying the 'whatever it takes' attitude
    • Versatile and enjoys a challenge: The candidate should be comfortable performing tasks from the mundane to the more strategic and looking for ways to improve processes
    • Proficient with Microsoft Office (Word, Excel, PowerPoint) and other office productivity tools (email, calendaring), and willing to learn new technologies
     
    Educational Requirements:  
    • Bachelor’s degree and 5-8 years of related experience, working in-house in a High-Tech environment is a plus, but not required
    • Legal work experience is a plus
